Interlibrary Loan

Interlibrary Loan is a library service provided for patrons to obtain research materials
(or photocopies of materials) from other participating instititutions in the United
States, Canada, Europe and Asia.
Sims Library offers this service as a supplement to the library's collection, not as a
substitute to the collection. Every effort should be made to exhaust Sims'
print and electronic resources before utilizing Interlibrary Loan.
The terms of the Interlibrary Loan service are set by Louisiana and National Interlibrary Loan codes and regulations of the individual lending libraries and document delivery providers. The ILL Department is a unit of the Access Services Department. |

- ILLiad: ILL Electronic Request Management System
ILLiad is a software program that automates the ILL department's lending and borrowing functions and enables us to process your requests more quickly and efficiently. What this also means to you as an ILL user is that you will be able to submit your interlibrary loan requests online and track the status of your requests at any time of the day or night. Users will also be able to receive and download electronic copies of articles that are sent electronically from our lenders. In addition to tracking, viewing, and submitting requests directly though ILLiad, the ILLiad software allows users to submit requests through the Library's indexes/databases. After logging into Illiad, the bibliographic information from the indexes/databases will automatically be transferred to an ILL request form. Look for "Borrow from another Library" links in our indexes/databases.

- Materials Available
Lending libraries from other institutions determine what materials they will loan. Books, theses, reports, journals, articles and some materials reproduced in micro format, such as newspapers, can be borrowed at the discretion of the lending institution. Photocopies of articles may be requested in accordance with the copyright law and guidelines (U.S.C., Title 17). Items withdrawn or reported missing from the Sims Memorial Library collection may be requested.
- Materials Not Available
The following types of materials CANNOT normally be requested: books owned by the Sims Library including those temporarily in use, on reserve, in Special Collections, part of the Reference Collection, or journal articles available in the Library's full-text databases and indexes. Audio/visual materials, including sound recordings and videos, are not normally loaned because of the bulk of the materials and the handling through the mail system. Entire journal issues are also not available; photocopies of individual articles can be requested.
- Electronic Delivery
All materials received electronically by the interlibrary loan department will be sent electronically to patrons with Southeastren e-mail accounts. Patrons will be able to retrieve their requests from the web through ILLiad by clicking on "View/Download Electronically Delivered Requests." Due to technological considerations we are not able to offer electronic delivery to patrons that do not have a Southeastern e-mail account.
Policies
- Who May Use Interlibrary Loan
ILL services may be used by enrolled Southeastern undergraduate and graduate students, faculty, staff, retired faculty, members of the alumni association and Friends of Sims Library with an acceptable borrowing status. Persons that do not have Southeastern e-mail accounts must contact the ILL department at (985) 549-5318 or libill@selu.edu about registering for an account.
- How to Submit a Request
In order to request materials through interlibrary loan, all users must first register through ILLiad, our interlibrary loan system. After registering, users can request interlibrary loan materials through ILLiad, check the status of their requests, and view a history of requests submitted through ILLiad.
Only official ILL request forms can be accepted and all request forms must be completed in full, including the date materials are no longer needed, the amount a patron is willing to pay ($0 is acceptable), and volume and inclusive page numbers if articles are requested. Requests will be processed by the Interlibrary Loan Office on a "first come, first served" basis. There may be a delay in processing if request forms are incomplete.
ILL requests may be also be submitted through a growing number of the Library's index/databases. Look for "Borrow from another Library" links near bibliographic citations in the indexes/databases. After clicking on the link you will be directed to ILLiad where, after signing in, the citation will automatically be transferred to an ILL request form.
Before requesting materials through interlibrary loan, please check the Library Catalog and the Library's full-text resources to verify that the Library does not own or have access to the material.

- Request Limit
Patrons are limited to 20 outstanding ILL requests at one time. In addition, only 5 requests per patron per day, up to the limit of 20, will be processed.
- Time Required to Receive Request
It is our goal to process patrons' requests within 48 hours. The amount of time taken for requested materials to arrive depends upon several factors such as completeness and accuracy of citations, number of lending libraries that hold the material, proximity of the lending library, and transit (mail) time. Generally, a minimum of 8-10 working days is needed to search, process, and receive each request. ILL service slows down during the holiday season (usually December 12 - January 2) because most libraries do not wish to risk losing forms or materials in the holiday mail. IT IS IMPORTANT TO PLAN AHEAD WHEN REQUESTING MATERIALS FROM INTERLIBRARY LOAN.
- Charges
The ILL department is a member of LVIS, a international consortium of libraries that lend for free. Every effort will be made to locate lending libraries that do not charge a fee.
Interlibrary loan requests for faculty, staff and graduate students up to $25.00/request are subsidized by the Library. Faculty, staff, and graduate students will be notified if their request exceeds $25.00. Undergraduate students will be required to pay any fees charged by the lending institution. If there is a fee charged which the patron has agreed to pay, the ILL item will not be released until payment is collected. If applicable, charges for materials will be billed to the patrons' Southeastern account. All patrons will be responsible for lost/damaged book charges, overdue charges, rush charges, and copyright fees in excess of $25.00. Refusal to pay for an item will result in the suspension of all Library borrowing privileges and may result in the delay of a student's registration or graduation procedures.
- Electronic Delivery

- Loan Period
Loan periods are set by the lending libraries and will be strictly enforced.
- Renewals
Lending libraries determine if their materials may be renewed. If renewals are permitted by the lending library, you may renew materials through ILLiad within 5 working days of the due date. After requesting a renewal, you will be notified by the ILL staff if the lending library accepted the renewal and the staff will send you the new due date. Overdue materials will not be renewed.
- Notification
When the requested material arrives, the patron will be notified by e-mail or telephone. Items should be picked up promptly. Failure to pick up requested materials may result in a suspension of interlibrary loan privileges.
- Unfilled Requests
We attempt to fill interlibrary loan requests through a variety of national and international interlibrary loan libraries and document delivery providers. We regret that due to the nature of some requested materials we are not able to guarantee that we will be able to fill all requests through interlibrary loan. After a reasonable effort is made to obtain materials, the ILL staff will advise patrons on other alternatives to pursue in order to obtain unfilled requests. Materials that are difficult to obtain are dissertation/theses, especially those issued at foreign institutions, rare or archival materials, and unpublished materials.
- Returning Materials
All materials borrowed (with the exception of electronic or paper photocopies) should be returned to the ILL office. If the ILL office is closed, the materials may be left at the Reference desk. Patrons should leave the ILL identification paper band on the book. Patrons are responsible for borrowed material until it is safely returned to the ILL office. It is very important that patrons return items promptly as not to jeopardize our borrowing privileges with our lenders. If you wish to borrow the material longer than the due date, please request a renewal through ILLiad prior to the due date. Renewals are completed at the discretion of the lending library. Repeated disregard of the lending library due date will result in the suspension of ILL privileges.
- Borrowing Restrictions and Suspension of Privileges
Abuse of interlibrary loan services may not only jeapordize the patron's interlibrary loan privileges. Failure to return materials on time or returning materials that are damaged may prevent the ILL department from borrowing materials from our lenders for other patrons.
ILL accounts may be blocked if:- materials are returned late or damaged
- materials are not picked up in a reasonable amount of time
- interlibrary loan charges are not paid
