Interlibrary Loan Policies

Who may use Interlibrary Loan?
Interlibrary Loan services may be used by enrolled Southeastern undergraduate and graduate students, faculty, staff, retired faculty, alumni association members and Friends of Sims Library with an acceptable borrowing status. Persons that do not have Southeastern e-mail accounts must contact the ILL department at 985-549-5318 or libill@selu.edu about registering for an account.  How do I reset my password?

How much does the service cost?
The Interlibrary Loan department is a member of LVIS, an international consortium of libraries that lend for free. Every effort will be made to locate lending libraries that do not charge a fee. Interlibrary loan requests for faculty, staff and graduate students are subsidized by the Library up to $30 per request.  Faculty, staff, and graduate students will be notified if their request exceeds $30. Undergraduate students will be required to pay any fees charged by the lending institution.  All patrons will be responsible for lost/damaged book charges, overdue charges, rush charges, copyright, and processing/transaction fees in excess of $30. Due to the increasing costs of resource sharing, Interlibrary Loan staff may need to contact you about requests which are expensive and suggest alternatives. In addition, we charge a service fee of $15 for ILL requests that are requested but never picked up.

What is the request limit?
Patrons are limited to 20 outstanding ILL requests at one time. In addition, only 5 requests per patron per day, up to the limit of 20, will be processed.

How long does it take and how will I be notified?
It is our goal to process patrons' requests within 48 hours. The amount of time taken for requested materials to arrive depends upon several factors such as completeness and accuracy of citations, number of lending libraries that hold the material, proximity of the lending library, and transit (mail) time. Generally, a minimum of 8-10 working days is needed to search, process, and receive each request.

When the requested material arrives, the patron will be notified by e-mail. Items should be picked up promptly. Failure to pick up requested materials may result in a suspension of interlibrary loan privileges.

What is electronic delivery and how does it work?
All materials received electronically by the interlibrary loan department will be sent electronically to patrons with Southeastern e-mail accounts. Patrons will be able to retrieve their requests from the web through ILLiad by clicking on "View/Download Electronically Delivered Requests." You will need Adobe Acrobat Reader installed and configured to work with your Web browser in order to view, download and print these materials. For a free download, go to http://get.adobe.com/reader/.

Status of Loan Request
You can check the status of your loan request by logging into your ILLiad account and selecting "View/Modify Outstanding Requests" from the main menu.  You do have the option to cancel the order if it has not been shipped by the lending institution.

Where do I return materials?
All materials borrowed (with the exception of electronic or paper photocopies) should be returned to the ILL office.  Patrons are responsible for borrowed material until it is safely returned to the ILL office. If you wish to borrow the material longer than the due date, please request a renewal through ILLiad prior to the due date. Renewals are completed at the discretion of the lending library.

When are Interlibrary Loans due?
Loan periods are set by the lending libraries and will be strictly enforced.  In general, you may retain most borrowed items for at least 3 weeks.  Some materials have shorter loan periods.  Some materials may be restricted to use only within Sims Library.  Some materials may have restrictions against photocopying.  Items obtained through interlibrary loan may NOT be put on Course Reserve.

What is the renewal policy?
Lending libraries determine if their materials may be renewed. If renewals are permitted by the lending library, you may renew materials through ILLiad within 5 working days of the due date. After requesting a renewal, you will be notified by the ILL staff if the lending library accepted the renewal and the staff will send you the new due date. Overdue materials will not be renewed.  If you need an item longer than its due date, please contact the ILL office to discuss your options.  Patrons are not allowed to contact lending libraries directly to arrange for a renewal.  How do I renew an ILL?

Why is my ILLiad account blocked?
Users are blocked when they owe fines or have not returned ILL books.  When you are blocked, you cannot access your ILLiad account to request materials, view articles, place renewals or check the status of an item.

Distance Learning Students: Article and Book Delivery
Use your ILLiad account to request copies of articles owned by Sims Library in print or articles from other universities.  You may also request that books owned by Sims Library be mailed to you from your ILLiad account.  Scanned documents are sent to your online ILLiad account and are available to view for download for 30 days.  Loaned items (library books) are checked out to you and shipped to your home address.  All requests for articles are free. Books will be shipped via UPS. Users are responsible for return shipping costs.
